Intake Team Overview

The Intake Team is part of the Grants Steering Committee (GSC), one of the core committees that make up ninety-nine girlfriends’ leadership. Leads work closely with the GSC Co-chairs and collaborate with the other teams under the GSC umbrella.

Intake Team Co-Lead

ESSENTIAL TASKS

  • Managing the Intake process as Impact Award submissions come in

  • Ensuring the volunteers on the Intake team understand our grant-making philosophy and the requirements for eligible applicants

  • Coordinating between Intake and the next “eyes” in the Grant Review process (Grant Review Teams and Financial Review Team)

  • Communicating with our Reviewr representative so they can manage the software for our process

TECHNOLOGY USED

The Co-Lead will use Reviewr, a submission management software, in addition to email, Zoom, spreadsheets and Google Drive. Prior familiarity with this software is not required but self-motivated training in the basics is encouraged. Tutorials and one-on-one assistance are available.

TIME COMMITMENT

We encourage committing to co-lead for two years: one to engage and learn, and the second to teach your successor. The Intake co-leads are active between late February through August but are busiest in June and July. Weekly average hours for a co-lead during the busiest 4 weeks is approximately 10-20; before and after, it can range from 0 to 4 hours a week. At least one of the two co-leads is expected to attend a monthly meeting of the Grants Steering Committee during the team’s active months (January and July we are all off for winter and summer break).


EXAMPLES OF ENGAGEMENT

You will be supported and trained on these as needed:

  • Attend Grants Steering Committee meetings and engage in collaboration

  • Learn Reviewr basics through on-line tutorials and help from previous year’s co-lead

  • Act as liaison to Reviewr as our event is set up and as questions arise throughout the grant evaluation process

  • Lead Intake Team training session; collaborate with GRT coordinators in GRT training session

  • Coordinate evaluation of Impact Award submissions for eligibility check

  • Organize lists of successful applicants to distribute to GRTs

  • Respond to questions from other teams as appropriate

  • Update Master spreadsheet of year-to-year applicant demographics, etc.
